Monthly retainer
You agree with an artist on the same fee every month for a set number of jobs. This guide explains, step by step, how the agreement is set up and how each month works.
If you need voice-overs often (weekly campaign announcements, social media videos, training content), you can agree on a fixed monthly fee with one artist instead of ordering every job separately.
- 1
What is a monthly retainer?
You agree with the artist on a monthly fee, a duration (1, 3, 6 or 12 months) and the maximum number of jobs per month. The fee is charged automatically every month, whether or not you open jobs that month. In return you reserve the artist's time and don't pay per job.
- Unused job allowance does not carry over to the next month.
- If your allowance runs out, you can place normal orders for extra work.
- All amounts are in USD.
- 2
Send an offer
On the artist's profile, click “Custom Offer Request” and choose “Fixed Monthly” as the project type, or use “Send Offer” → “Fixed monthly” in the chat. In the form you fill in:
- Scope and terms: type of work, tone, delivery expectations.
- Duration and maximum jobs per month (10 if left empty).
- Maximum words per job (default 150) and free reading revisions per job (default 1).
- Maximum jobs per day (3 if left empty); it sets delivery dates when jobs pile up at month end.
- Media usage and an optional monthly budget. Leave the budget empty and the artist proposes a price.
- 3
Negotiate and start by paying
When the artist prices the offer, you see it on your My Offers page. You can accept, make up to 3 rounds of counter-offers, or decline; a counter-offer only changes the monthly fee. The artist accepting does not start the agreement: it starts when you click “Accept & Pay”, confirm the terms on the payment screen and the first month is charged.
- The first month is taken from your wallet first, then from your saved card if needed.
- Following months are charged automatically on the start day each month.
- 4
Open jobs every month
On the Fixed-Fee Agreements page in the menu you see your agreement, the allowance used this month and the payment history. Once this month is paid, use “Open a new job” to order without paying again.
- 1 job = one script up to the word limit, one audio file. A longer script uses several allowances by word count (e.g. with a 150-word limit, 320 words = 3 jobs).
- As soon as you paste the script, the form shows how many jobs it uses and how many remain this month.
- The estimated delivery date also appears in the form: the artist's delivery time plus the queue of agreement jobs spread by daily capacity.
- 5
Request revisions
When the audio is delivered you can approve it or request a revision. Revisions are covered in this order:
- First from the job's free reading revisions.
- Then from this month's job allowance: an extra reading revision uses 1 job; a script change uses jobs by the new script's word count.
- If no allowance is left this month, it is paid: 50% of the per-job share (monthly fee ÷ jobs per month).
- 6
If the artist marks a job out of scope
If a job you opened isn't covered by the agreement (different type, language, media or an excessively long script), the artist can mark it “out of scope” with a reason before uploading audio. The job is cancelled and the allowance you used is refunded immediately.
- You see the artist's reason on the job page.
- Use “Order now” to send it to the same artist as a paid order, or “Request a quote” to ask for a price; title and script are filled in.
- Or simply dismiss it; nothing is charged.
- 7
Extend a job's media
The agreement's media usage applies to all jobs. If one job needs wider use (e.g. international instead of national advertising), click “Extend media” on the job page and choose a wider option.
- The fee is the difference between the artist's media rates: per-job share × (new rate − old rate).
- Pay from the extra-work card on the job page with your wallet or card within 24 hours.
- Once paid, only that job's media is updated.
- 8
If a payment fails
If the monthly payment can't be collected you are notified and it is retried about once a day, 3 times in total. If it still fails, the agreement is paused and no jobs can be opened that month.
- Top up your wallet or update your card, then click “Pay now” on the Fixed-Fee Agreements page.
- Once paid, the agreement continues; months spent paused are not charged.
- Jobs opened before the pause are still delivered.
- 9
Extension, early exit and ending
14 days before the end, you and the artist are asked about extending; if both agree the agreement is extended by the same duration, otherwise it closes at the end.
- Early exit requires 1 month's notice: the current month and the next month are paid, then the agreement ends.
- Jobs already opened when the agreement ends are delivered under it; no new jobs can be opened.
Example
A 6-month agreement with 8 jobs a month, 150 words per job and 1 free reading revision:
- Client pays per month
- $450
- Total for 6 months
- $2,700
- Per-job share ($450 ÷ 8)
- $56.25
- Paid revision (50% of the share)
- $28.13
- Artist's net per month (35% commission)
- $292.50
The commission rate can differ by artist; it is fixed when the agreement is created.
Frequently asked questions
How is this different from a normal order?+
With a normal order each job is priced and paid separately. With a monthly retainer the fee is agreed once, and each month you open jobs up to the agreed number without paying again.
What if I open no jobs in a month?+
The monthly fee is still paid and unused allowance doesn't carry over. With a retainer you reserve the artist's time for that month.
My script is longer than the word limit.+
It uses several jobs by word count. With a 150-word limit a 320-word script counts as 3 jobs. If this month's allowance isn't enough, split the script or place a normal order.
My allowance ran out but I have more work.+
Place a normal order with the same artist for extra work. Revisions that need an allowance become paid.
What if my card is declined?+
It is retried about once a day, 3 times; if it still fails the agreement is paused. Once paid, it continues and paused months are not charged.
Can I end the agreement early?+
Yes, with 1 month's notice. The current month and the next month are paid, then the agreement ends.
How are delivery dates set?+
The artist's delivery time plus the queue of agreement jobs ahead, spread by daily capacity. The estimated date is shown in the job form.
Which currency is used?+
Monthly retainers run in USD. Payment is taken from your wallet first, then from your saved card.
